PL-300 visualize and analyze explained

Updated October 9, 2026

Visualize and analyze the data is worth 25–30% of PL-300. It covers building reports with the right visuals, making them usable and tell a story, and using Power BI’s analytical features to find patterns. This is the area most analysts already know, so the exam mixes familiar tasks with items people skip: accessibility, mobile layouts, paginated reports, and the newer Copilot and visual calculation features that the current outline names.

Create reports

Choosing a visual

QuestionVisual
Trend over timeLine or area chart
Compare categoriesBar or column chart
Part of a whole, few categoriesDonut or treemap
Start, increases, decreases and endWaterfall
Relationship between two measuresScatter
One number against a targetKPI, card or gauge
Detail, exact valuesTable or matrix
Geographic distributionMap or filled map

The exam rewards the simplest visual that answers the stated question. Pie charts with many slices and 3D effects are almost always wrong answers.

Format and filter

  • Themes apply fonts and colours to the whole report. You can import a JSON theme.
  • Conditional formatting colours backgrounds, fonts, data bars and icons by a rule, a value scale or a field.
  • Slicers let viewers choose values. Filters exist at visual, page and report level, and the Filters pane can be hidden or locked.
  • Page configuration: size, background and page view. Use a paginated report when the output must be pixel-perfect, printable and multi-page, such as invoices.
  • Visual calculations are DAX calculations written inside a visual, which reference the visual’s own fields. Copilot can create report pages or narrative summaries; know what it is for and that it works from the semantic model.

Enhance reports for usability and storytelling

FeatureUse it to

Selection paneName, show, hide and layer visuals; set tab order
DrillthroughRight-click a data point to jump to a detail page filtered by it
Report page tooltipsShow a small report page on hover
Edit interactionsControl whether a selection filters, highlights or ignores other visuals
Sync slicersKeep a slicer’s selection consistent across pages

SortingSort visuals by another field or measure
Personalized visualsLet viewers change a visual’s type or fields themselves

Usability checks

  • Mobile layouts: a phone layout is designed in a separate view in Desktop.
  • Accessibility: alt text on visuals, a logical tab order, sufficient contrast, titles, and not relying on colour alone.
  • Export settings: control whether viewers can export summarised or underlying data.
  • Automatic page refresh: refreshes a DirectQuery page at a fixed interval, subject to admin limits.
  • Analyze: Explain the increase or decrease on a point of a line chart, and Find where this distribution is different.
  • Grouping and binning create groups of values or numeric bins; clustering finds groups of similar points in a scatter chart.
  • AI visuals: key influencers, decomposition tree, Q&A and smart narrative.
  • Analytics pane: constant, average, min and max reference lines, error bars, forecast, and anomaly detection on line charts.
  • Copilot: can summarise the semantic model and generate content, but you should still check the result.

Sample questions

Question 1. A finance report must show how revenue moved from last year's total to this year's total, with each product line shown as an increase or a decrease. Which visual fits best?

  • A. Pie chart
  • B. Waterfall chart
  • C. Scatter chart
  • D. Gauge
Show answer

Answer: B

A waterfall chart starts at a value, shows each positive and negative contribution, and ends at a total, which is exactly this story. A pie chart shows parts of one total at one moment. A scatter plot compares two measures. A gauge shows one value against a target.

Question 2. On one report page you need viewers to switch between a chart and a table showing the same data, using two buttons, without leaving the page. What should you configure?

  • A. Two bookmarks, the Selection pane and two buttons
  • B. A drillthrough page
  • C. A report page tooltip
  • D. Sync slicers
Show answer

Answer: A

Create a bookmark for each state, using the Selection pane to show one visual and hide the other, and attach each bookmark to a button as an action. Drillthrough navigates to another page. A tooltip page appears on hover. Sync slicers keep slicer values aligned and do not swap visuals.

Question 3. A line chart shows monthly sales and one month has a sharp rise. A viewer wants Power BI to suggest what contributed to the increase. What should you use?

  • A. A constant reference line
  • B. A forecast
  • C. Binning
  • D. Analyze, Explain the increase
Show answer

Answer: D

The Explain the increase option in the Analyze feature compares the point to others and suggests contributing factors. A reference line only marks a value. A forecast projects future points. Binning groups values into ranges and does not explain a change.

What to practise

Build one three-page report on a model you know: an overview with a waterfall and a KPI, a detail page you reach by drillthrough, and a tooltip page. Add a bookmark toggle, sync one slicer across two pages, set alt text and tab order, and design the phone layout. Run Explain the increase on a line chart. Everything on the outline then has a physical memory attached to it.
